Position Preface - We are looking to expand our teams capabilities by onboarding a highly accountable Intermediary Portfolio Admistrator; someone possessing a great attitude, strong work ethic, and desire to learn in-depth investment operations across multiple platforms (Archer, Orion & APX).

The Intermediary Investment Operations Team is responsible for supporting the operational adminstration of Sterling’s Fixed Income SMA (1,650 accounts) and Equity Wrap/Model business (2,000 accounts). Over the past year we have integrated with an outside service provider, Archer, to provide much of the daily operations and we expect to onboard an additional 1,000 accounts to our platform before the end of 2021. The role will also support our growing Advisory Solutions “OCIO” business of global, multi-assets class portfolios which leverages a partnership with Sawtooth Solutions and Orion Advisor Technology.

Sterling utilizes Archer (accounting/trading), Sawtooth/Orion (accounting/trading), Advent APX (accounting), Omgeo OASYS (settlement), Charles River (portfolio management/trading), and Salesforce (CRM) along with Bloomberg, Factset and other tools.

Position Summary -Sterling Capital Management is seeking a highly motivated Intermediary Portfolio Administrator to monitor our partners and assist in portfolio accounting, reconciliation, and reporting. This is an essential and foundational position for the effective functioning of our business. Precise, organized, and highly accountable professionals are desired. A successful Portfolio Administrator combines excellent math and problem solving skills, a sound proficiency with technology (from Outlook and Excel to Bloomberg, Archer, Advent, and Charles River), and a strong customer service approach.

Accurate, timely investment account data, generated by Portfolio Administrators, is critical to supporting nearly every aspect of Sterling; from portfolio management and trading, to compliance, to marketing and client service.

Intermediary Portfolio Administrators oversee portfolio accounting across all our separately managed fixed income and equity accounts (3650 accounts). This requires daily reconciliation of Sterling’s portfolio accounting system to the client’s book of record at custody, with the active resolution of any discrepancies.

Core Responsibilities:

  • Ensuring transaction/position integrity in Sterling’s records (Archer/Advent APX) against client custodial records, and also to Sterling’s OMS (Charles River) and relevant reference data (Bloomberg, etc.)

  • Research and remediate reconciliation discrepancies daily. Requires close and frequent communication (email and phone) with internal settlement team, and Archer

  • Manage operational aspects of new account onboarding, including review of account attributes in portfolio accounting system, data feed connectivity to custodian, and verifying funding status

  • Oversee necessary steps for other operational activities over an account lifecycle, such as contributions/withdrawals, audit requests, and account terminations

  • Provide internal “customer” support, quickly responding to a high volume of time sensitive questions and requests from multiple internal teams, such as portfolio managers and client service team members

  • Improve the client experience through overall and consistent work quality, accuracy of work, speed to delivery in meeting requests and deadlines

  • Support Archer, Client Service, Traders, and Portfolio Managers by facilitating timely and accurate information, and coordinating resolution across multiple internal teams

  • Participate in on-going firm wide projects

Skills and Competencies:

  • Bachelor’s degree. Preferably in accounting, finance, or relevant field

  • Two+ years of back/middle office financial work experience, preferably within Asset Management

  • Technical understanding of investment markets, securities, security data, and investment systems

  • Direct experience with a portfolio accounting system, preferably with Archer, Orion and/or APX

  • Excellent overall computer skills with demonstrated proficiency in several software packages. Familiarity with Bloomberg, Charles River, Factset and Salesforce preferred

  • Strong ability in Microsoft Excel, including vlookups, pivot tables and macros
